Zoom Integration

What the Zoom integration does

The Zoom integration lets an authorized coach connect their own Zoom account so that coaching sessions scheduled in Positioned4Success™ automatically receive a Zoom meeting. Participants receive a join link; the coach receives the host link. Rescheduling or cancelling a session in Positioned4Success™ updates or removes the corresponding Zoom meeting.

Who can connect Zoom

Only approved coaches connect Zoom, and each coach connects their own Zoom account. Participants and HR/Program Administrators never connect Zoom and never receive host controls.

What information is accessed — and why

When a coach connects Zoom, Positioned4Success™ requests only the permissions needed to manage coaching meetings on the coach's behalf: basic account identification (to confirm which account was connected) and the ability to create, read, update, and delete meetings. These permissions are used solely to schedule, update, and cancel coaching-session meetings.

Positioned4Success™ does not collect or analyze Zoom recordings, meeting audio or video, meeting transcripts, or Zoom AI Companion content, and does not request permissions for them.

How it is protected

Zoom authorization credentials are encrypted and stored in a service-role-only table that is never exposed to the browser. Meeting join links are shared with the session participant; host links are provided only to the coach, at the time they are needed.

How to disconnect — and what happens after

A coach can disconnect Zoom at any time from Settings → Privacy & Data (or their coach profile). Zoom can also remove the connection from the Zoom App Marketplace under Manage → Added Apps.

When Zoom is disconnected or deauthorized, Positioned4Success™ stops using the authorization, invalidates and removes the stored credentials, and handles Zoom-derived meeting data as required by Zoom's deauthorization policy. Disconnecting Zoom never deletes unrelated Positioned4Success™ records — assessments, Development Plans, coaching records, and program information are unaffected.
